The problem with running receivables in a spreadsheet
Most finance teams start with an aged debtors export and a shared workbook. It works until it does not: the file is only as current as the last export, two people edit different copies, the chase history lives in someone's inbox, and nobody can say with confidence which customer promised what, or whether they kept the promise.
The cost is not the spreadsheet itself — it is the days of sales outstanding that quietly accumulate while an invoice sits unchased because it was nobody's clearly assigned job. Accounts receivable software fixes the ownership problem first and the reporting problem second.
CollectFlows keeps your existing export as the input. You do not change how invoices are raised or how payments are recorded; you change what happens in between.
What CollectFlows manages
Everything between issuing the invoice and banking the payment.
Import your AR ledger
Upload the invoice statement your accounting system already exports. Columns are detected automatically — invoice number, customer, date, due date, amount and outstanding balance.
Automatic invoice aging
Every invoice is bucketed the moment it lands — current, 1–30, 31–60, 61–90 and 90+ days overdue — and re-aged each day without anyone rebuilding a pivot table.
Customer-level balances
Each customer has a single profile with total outstanding, oldest overdue invoice, contact person, phone and notes, so the person making the call has everything in front of them.
Credit limit monitoring
Set a credit limit per customer and get a warning the moment their outstanding balance crosses it — before the next order ships, not after.
A full audit trail
Every follow-up, promise, status change and import is timestamped and attributed. When a balance is disputed you can show exactly what happened and when.
Collection performance
Month-to-date collected against target, by branch and by collector, so you can see whether receivables are actually converting to cash.
Who uses it
CollectFlows is built for the people who own the receivables ledger day to day: credit controllers chasing a book of accounts, collection officers working a branch, finance managers who need the aging report to be right on the first of the month, and CFOs who want to see whether collections are tracking against target without asking anyone to build a deck.
It suits trading, distribution, contracting and services businesses in the UAE and wider GCC where invoices are issued in AED, customers are spread across branches, and each collector is accountable for a specific set of accounts. If that is how your team is organised, the UAE-specific overview covers the regional detail.
Accounts receivable software FAQ
- What does accounts receivable software do?
- It manages the money your customers owe you from the moment an invoice is issued until it is paid. That means holding every open invoice in one place, ageing it automatically as it passes its due date, recording every chase and every promise to pay, flagging customers who exceed their credit limit, and reporting how much has actually been collected against target.
- Does CollectFlows replace my accounting software?
- No. Your accounting or ERP system remains the book of record for invoices and payments. CollectFlows imports that data and manages the collections process on top of it — the chasing, the promises, the ownership and the reporting that accounting systems generally do not cover.
- How do invoices get into CollectFlows?
- You export an invoice statement from your existing system as Excel or CSV and upload it. Column mapping is detected automatically, and re-uploading an updated statement archives the previous version rather than deleting history. There is also a REST API on the Growth and Enterprise plans if you would rather push data in automatically.
- Can I see receivables by branch or by salesperson?
- Yes. Customers are mapped to branches and users are assigned to branches, so outstanding balances, overdue amounts and collection performance can all be broken down by branch and by individual collector. Each collector's own view is limited to their own book.
- How much does accounts receivable software cost?
- CollectFlows starts at AED 145 per month for up to 5 users, with Growth at AED 475 per month for up to 20 users including the AI collections assistant. Every plan begins with a 14-day free trial and no credit card.
