The aging report is only useful if it is current

An aged receivables report built by hand is out of date the moment it is saved. By the time it has been circulated, invoices have crossed bucket boundaries, payments have landed against some of the balances, and the version being discussed in the meeting is not the version the collectors are working from.

Because CollectFlows calculates aging from each invoice's due date on demand rather than storing a bucket at import time, there is only ever one version and it is always today's. A 30-day invoice becomes a 31-day invoice overnight without anybody touching it.

That matters most at the 90-day boundary, where provisioning decisions and escalation thresholds usually sit. Invoices cross it on schedule instead of whenever the report was last refreshed.

What the aged view gives you

Re-aged every day

Aging is calculated from each invoice's due date on the fly, not frozen at the moment of import. Yesterday's 30-day invoice is today's 31-day invoice without anyone rebuilding anything.

Standard aging buckets

Current, 1–30, 31–60, 61–90 and 90+ days overdue — the same brackets your auditors and your bank already expect to see.

Slice by branch or collector

The same aged debtors view, filtered to one branch, one collector or one customer, so each manager sees the portion of the ledger they are accountable for.

Prioritise what to chase

Sort by days overdue or by outstanding value to work the accounts that matter most, rather than starting at the top of an alphabetical list.

Tied to the follow-up history

Every aged invoice carries its chase history with it — who called, what was promised, whether the promise held — so the aging report is a work list, not just a snapshot.

Export for reporting

Export the filtered view to CSV for the month-end pack, a bank submission or an audit request, without re-keying anything.

From aging report to collected cash

Knowing an invoice is 74 days overdue only helps if something happens next. In CollectFlows the aged view is the starting point for the chase: open the invoice, see every previous conversation with that customer, log the call you just made, and record what they promised and by when.

That connection between the aging report and the follow-up workflow is the point. The reporting side is covered in more depth under accounts receivable software, and the chasing side under collections management software.

Invoice aging FAQ

What is an invoice aging report?
An invoice aging report — also called an aged receivables or aged debtors report — groups every unpaid customer invoice by how long it has been outstanding past its due date. The standard brackets are current (not yet due), 1–30 days, 31–60 days, 61–90 days and over 90 days. It is the primary tool for judging the quality of a receivables ledger and deciding which accounts to chase first.
What aging buckets does CollectFlows use?
Current, 1–30, 31–60, 61–90 and 90+ days overdue. Days overdue are counted from each invoice's due date, and every invoice is re-aged automatically as time passes, so the report is always current as of today rather than as of the last export.
How is this different from the aging report in my accounting system?
Most accounting systems can produce an aging report, but it is a static document: it tells you an invoice is 62 days overdue and stops there. In CollectFlows each aged invoice is linked to its collection history — who has chased it, what the customer promised, and whether that promise was kept — and to the collector responsible for it. The report becomes the work list rather than a file that gets emailed around.
Can I see aging for just one branch?
Yes. The aged view can be filtered by branch, by collector and by customer, and access scoping means each collector's default view already shows only their own accounts. Managers can compare aging across the branches reporting to them.
Do I have to rebuild the report each month?
No. Once your invoices are imported, the aging is derived automatically and stays current. Re-uploading an updated invoice statement refreshes the balances and archives the previous version, so history is preserved. A 14-day free trial is enough to run it through a full month end.
