Accounts receivable & collections features

Everything CollectFlows does, in one place: the ledger, the chasing workflow, the reporting, and the access controls that keep each collector in their own book.

Receivables & reporting

The ledger view: what is owed, by whom, and how overdue it is.

Live collections dashboard

Outstanding, overdue and collected totals, aging distribution and month-to-date target progress, computed from your data on every load.

Automatic invoice aging

Current, 1–30, 31–60, 61–90 and 90+ day buckets, recalculated from each invoice's due date rather than frozen at import.

Customer profiles

Outstanding balance, oldest overdue invoice, contact person, phone, credit limit and notes on one screen.

Credit limit warnings

A visible warning as soon as a customer's outstanding balance crosses the limit you set.

CSV export

Export any filtered invoice, customer or activity view for month-end packs and audits.

Global search

Jump straight to a customer, invoice or branch from anywhere in the app.

Collections workflow

The work itself: who is chasing what, and what the customer committed to.

Promise-to-pay tracking

Record the amount and date a customer commits to. Broken promises are flagged automatically once the date passes.

Follow-up logging

Calls, emails and WhatsApp touchpoints recorded against the customer, timestamped and attributed to whoever logged them.

Task assignment & notifications

Assign a follow-up with a due date; the collector is notified immediately with a link to the customer's history.

Reminders

Set a date and time to be reminded about an account, so nothing depends on memory.

Team activity feed

A running record of what the whole collections team did today, filterable by person and branch.

Excel & CSV import

Import invoice statements, daily collections and branch targets, with column mapping detected automatically.

AI collections assistant

Included on Growth, Enterprise and the 14-day trial.

Ask your data anything

Questions about balances, overdue accounts, promises and collector performance, answered from your live data rather than a generic model.

Daily briefing

A morning digest of what moved, what stalled and what needs attention.

Voice input

Speak a follow-up instead of typing it — the assistant transcribes and logs it.

English & Arabic

Ask in either language and the assistant replies in the same one.

Access control & security

Who can see which accounts, and a record of everything that happened.

Branch & collector scoping

Customers map to branches, users map to branches. Collectors see their own book, managers see everyone reporting to them.

Five roles

Super admin, manager, accountant, collector and a read-only viewer role for people who need reporting without edit rights.

Audit log

Every significant action recorded with actor, timestamp and detail, exportable for compliance.

Two-factor authentication

Optional TOTP multi-factor authentication, enforced at sign-in for users who enrol.

IP allowlisting

Restrict sign-in to your office networks. Available on Enterprise.

REST API

Programmatic access to invoices, customers, collections and follow-ups with bearer-token keys. Available on Growth and Enterprise.

Feature questions

Which features are included on which plan?
All plans include the collections dashboard, invoice aging, promise-to-pay tracking, branch scoping, Excel import and the audit log. The AI collections assistant and the REST API are included on Growth (AED 475/month) and Enterprise, and IP allowlisting is Enterprise only. The 14-day free trial includes the AI assistant so you can evaluate it.
Is there an API?
Yes. Growth and Enterprise plans include a REST API covering invoices, customers, collections and follow-ups, authenticated with bearer tokens you generate in Settings. It is intended for pushing invoice data in automatically rather than uploading a spreadsheet.
Can I import data from Excel?
Yes, and it is the normal way to get started. Upload the invoice statement your accounting system exports as Excel or CSV; column mapping is detected automatically. You can also import daily collections and branch targets the same way. Re-uploading archives the previous version rather than deleting it.
Does it work on mobile?
Yes. CollectFlows runs in the browser and the interface adapts to phone and tablet screens, which matters for collectors logging a follow-up straight after a call rather than at the end of the day.
